ARES CERTIFICATION Pte Ltd (ARES) audit process is done in three phases to ensure a smooth and efficient audit process. a summary of the activities in each phase is shown below
1) Application submission
companies who requesting an audit shall authorise a representative to provide information such
-
- scope of audit
- organization details
- outsourced process
- standard to be audited
- previous consultancy
2) Application review
ARES will conduct a review of the application to ensure that ARES is able to meet the request of the client. ARES will reject application if it is unable to meet the request of the client and will provide a clear reasoning for it.
3) Determining audit objectives, scope and criteria
Objective is determined by ARES while the scope and criteria will be determine by ARES after discussion with client . all 3 item will take into consideration the necessary factors to achieve the intended outcome of the audit
4)Audit team selection and assignments
ARES will determine the number of people to assign to the audit team base on the information given .
All auditor chosen shall be checked to ensure they have the required competency and meet the impartiality requirement base on the available information. if external party are needed to complement the skillset of the auditor they shall not interfere with the audit process. this is also applicable to guides or observer
5)Audit plan
ARES will determine the duration date of audit after discussion with the client and will be communicated to them to ensure a smooth audit
ARES will inform the audit team of their assigned role and responsibilities for the audit
6) Preparation
Before the actual audit ARES will review document regarding the client’s management system documented information to determine whether the documented information meets the audit criteria and identification of any additional documents needed for review.
ARES will devote more time on preparation, including document review, if it is the first audit to be conducted or if a new auditor conducts a subsequent audit.
7) On-site audit
A formal opening meeting, shall be held with the client’s management and, where appropriate, those responsible for the functions or processes to be audited. The purpose of the opening meeting, usually conducted by the audit team leader, is to provide a short explanation of how the audit services will be undertaken. The degree of detail shall be consistent with the familiarity of the client with the audit process and will cover any question the clients has about the process
The progress of the audit will be communicated to the client as needed . the audit team will communicate with the client if there is any concern or if a change of scope is required . Action will then be taken as needed.
The audit team will base their finding on evidence from three main sources .
- interviews
- observation of processes and activities
- review of documentation and records
Audit findings summarizing conformity and detailing nonconformity shall be identified, classified and recorded . The audit team will discuss with the client on the findings to ensure that the evidence is accurate . In the event there are diverging opinion of a finding , the team leader shall attempt to resolve it. if the diverging points can not be resolved, it shall be recorded
A formal closing meeting, where attendance shall be recorded, shall be held with the client’s management and, where appropriate, those responsible for the functions or processes audited. The purpose of the closing meeting, usually conducted by the audit team leader, is to present the audit findings. Any nonconformity shall be presented in such a manner that they are understood
For unsafe condition or unsafe work practice found during the audit that may result in imminent danger to the safety and health of persons at work, WSH auditor shall report to Ministry of Manpower (MOM) if the Auditee refuses to take immediate remedial action or needs more than a day to remedy the unsafe condition or unsafe work practice.
The client shall be given opportunity for questions. Any diverging opinions regarding the audit findings between the audit team and the client shall be discussed and resolved where possible. Any diverging opinions that are not resolved recorded and referred to ARES
8) Report Writing
ARES shall provide a written report for each audit to the client. The audit team may identify opportunities for improvement but shall not recommend specific solutions. Ownership of the audit report shall be maintained by Ares
The audit team leader shall ensure that the audit report is prepared and shall be responsible for its content. The audit report shall provide an accurate, concise and clear record of the audit
